What to do first when you need to recover deleted Mac files

File recovery is a race against new writes. The calmer you are in the first few minutes, the better the odds. Stop using the affected drive, check the reversible places, and only then scan.
Stop writing to the affected drive
Downloads, app installs, exports and even normal browsing can write new data. If the deleted file was on an external drive, unplug it until you are ready to recover. If it was on the startup disk, avoid large installs or cleanup actions until you have checked backups.
Check Trash and Time Machine first
Trash is the easiest recovery path. Time Machine or another backup is the safest because it restores known-good files rather than guessing at deleted data. Apple documents restoring files from backups, and that should be the first serious recovery step.
Understand what scanning can and cannot do
Recovery scans can find file records or carve recognizable data from unused space. They cannot guarantee original names, folders or complete contents, especially on encrypted or solid-state storage where deleted blocks may be reclaimed quickly.
